AI Agency Mass Working memo · Massachusetts

01. Abstract Prepared for the owners of Massachusetts small businesses

The phone gets answered. The lead gets a reply. The paperwork does itself.

AI Agency Mass designs and runs practical AI systems for small businesses across Massachusetts — trades, clinics, shops, and offices from the Berkshires to the Cape. We install assistants that answer your line when you can’t,1 reply to new inquiries within minutes, and take repetitive office work off your plate. You keep working; the system keeps up.

Plain-English proposals. Fixed-scope pilots. Your tools, your accounts, your data.

Services — what we build

AI receptionist & missed-call capture

When you’re on a ladder, with a patient, or already on the other line, an assistant answers in a natural voice on your existing number. It gives hours and service-area answers, takes a structured message, and can book directly into your calendar. A missed call becomes a transcript and an appointment instead of a voicemail nobody checks.

Instant lead follow-up

A form fill or a Google Business Profile message gets a personal, accurate reply within minutes — day, evening, or weekend. The system asks the qualifying questions you would ask, proposes times from your real availability, and hands you a tidy summary. Speed wins the job; the follow-up system supplies the speed.

Workflow automation

Estimates that assemble themselves from a site-visit voice memo. Invoices that go out the day the job closes. Review requests that follow every completed ticket. We map the steps you repeat every week, wire them together across the software you already own, and document the whole thing so it keeps working when we’re gone.2

AI-assisted local SEO & content

Showing up when a neighbor searches is a system, and AI makes the system affordable to run. We maintain your Google Business Profile, keep name-address-phone details consistent across directories, and publish pages and posts that answer the questions Massachusetts customers actually type — drafted with AI, checked by a person, and grounded in your real services and towns.

Custom AI agents & integrations

When the off-the-shelf pattern isn’t enough: an agent that quotes from your own price book, drafts permit paperwork from job notes, triages a shared inbox, or connects two systems that were never meant to talk. We scope these tightly, build on standard platforms, and hand over documentation and credentials with the keys.

Method — how an engagement works

  1. Listen

A short call, then a walkthrough of a normal week: where calls go unanswered, where leads wait, which chores eat your evenings. We write up what we find in one page you can act on with or without us.

  2. Pilot

One system, one clear job, a fixed scope and price. Usually the missed-call assistant or lead follow-up, because the effect shows up in your week fastest.

  3. Install

We wire the system into your existing phone number, calendar, and records; test it with real scenarios from your business; and train you and your staff on the handful of things worth knowing.

  4. Tune

A standing review of transcripts and outcomes. Prompts get sharpened, edge cases get handled, and the next automation gets scoped only when the last one has earned it.

“A good automation is like a good apprentice: it does the task the same way every time, and it tells you when it’s stuck.”

Questions, answered

What does an AI receptionist actually do?

It answers your business line when you can’t, in a natural voice, around the clock. It can give hours and service-area answers, take a structured message, and book an appointment into your calendar. Every conversation ends with a transcript sent to your phone or inbox, so you decide what needs a call back and what is already handled.

Do we need to change the software we already use?

Usually no. We build around the tools you have: your existing phone number, Google Business Profile, calendar, spreadsheet, QuickBooks, or CRM. Where a tool is missing, we recommend an inexpensive standard one rather than something exotic.

How long does setup take?

A single system, such as missed-call capture or lead follow-up, is typically drafted, tested, and live within a few weeks of the discovery call. Larger workflow projects are scoped in stages so something useful is running early rather than everything arriving at once.

What does this cost?

Pricing depends on scope, so we quote after the discovery call rather than from a rate card. Every engagement starts with a small fixed-scope pilot: one system, one clear job, a defined price. You see it working in your own business before committing to anything larger.

Will callers know they are talking to an AI?

Yes. The assistant identifies itself, and we keep it that way on purpose — trust is the whole point of answering the phone. Callers who want a person are routed to you or leave a message that reaches you immediately with a transcript.

What happens to our data and our customers’ data?

Your records stay in your accounts — your calendar, your CRM, your phone system. We configure the AI services with business-tier settings, document every connection we set up, and hand you the credentials. If we part ways, everything keeps belonging to you.

Notes

  1. Calls the assistant can’t confidently handle are handed to you with a transcript and the caller’s details, so nothing arrives cold. ↩
  2. Documentation means a plain-language runbook: what triggers each step, where it can fail, and how to pause it — kept in your accounts, in your name. ↩
